Job Description Summary

The primary responsibility of the Assistant to the Academic Fieldwork Coordinator is to receive and carry out direction of the Academic Fieldwork Coordinator in addressing the clinical requirements for OT students. Accordingly, this individual performs administrative, supervisory, and complex clerical work in a fast-paced, collaborative and demanding environment. The assistant must be able to perform non-routine and difficult tasks with indirect supervision, must understand student issues and concerns, and must maintain confidentiality of student and departmental information. This individual must be able to work respectfully and successfully with a variety of people and all University constituent groups (faculty, departmental staff, students, university community and the public). This job requires attention to detail, flexibility, strong organizational skills, the ability to work under deadlines and be a self-starter. The assistant to fieldwork will also be responsible for assisting in occupational therapy instructional labs, student practicals, and other duties assigned.

Duties and Responsibilities

Essential functions include the following. Other duties may be assigned.
Fieldwork Duties
1. Reach out to clinical sites as assigned by the AFWC to inquire about student opportunities for clinical site development.
2. Monitor fieldwork education timelines (contracts, site placement packets, confirmation letters, reservation forms and others as directed), providing reminders to the Academic Fieldwork Coordinator, Fieldwork Site Coordinator, and students.
3. Assist in compiling clinical education policies and procedures.
4. Assist in conducting, collecting and recording program outcomes assessment data.
5. Assist in maintaining student documents related to student progress, communication, and performance during fieldwork in alignment with as ACOTE accreditation standards.
6. Manage fieldwork education database by updating fieldwork sites, clinical instructors, contact information, fieldwork contracts, student-fieldwork placements, other forms as needed.
7. Assist in compiling and maintaining accreditation materials specific to fieldwork.

Instructional/Clinical Duties
1. Assist in labs and/or classes supporting faculty with the application of didactic material, as directed by the AFWC and or Chair.
2. Participate in student practicals as an instructor, assist in scheduling and organization.
3. Participate in the development of level I fieldwork sites, site visits, and other community outreach as directed by the AFWC.
General Duties
1. Answer departmental telephone, forward calls or take messages as appropriate.
2. Answer student requests for information about fieldwork education policy and procedures as needed.
3. Notify students of fieldwork deadlines, compliance with scheduled tasks such as completion of site required forms and additional immunizations.
4. Monitor online database to assure student compliance with health and safety requirements.
5. Serve as liaison with the clinical community and Husson University as directed by Academic Fieldwork Coordinator
6. Assist in maintaining records of enrolled students and school-related materials, as needed
7. Manage a variety of documents (letters, fieldwork education policies and procedures, clinical contracts, reports) using filing systems as needed.
8. Monitor and regularly update contract agreements to assure responsibilities for both Husson University and FW site are clearly documented.
Department Support
1. Process individual and bulk mail as per department needs.
2. Manage photocopying and printing as required.
3. Assist in coordinating special events for the School of Occupational Therapy as requested.
4. Order office, classroom supplies and printer paper for the department as needed.
5. Occasional weekend or evening participation may be required for University, College or School events.

Education and Experience

Education: Associates or Bachelor’s degree Occupational Therapy Assistant
Certified Occupational Therapy Assistants (COTA)

Experience: Minimum of three years of work experience, preferably in an academic or medical setting.
